When should you check for overlapping appointments?
When appointments arrive through several channels, the booking form's availability check may cover only part of the process. An appointment added by hand or through another tool also takes time. Checking the shared destination calendar helps find overlaps between those entries.
The template is designed for one person's calendar or one bookable resource, such as a treatment room or meeting room. It reads timed events for the coming days, compares their intervals and prepares a summary. The recipient decides which appointment to review and how to resolve it.
What the sample demonstrates
The sample uses five fictional events. Three are busy appointments; the other two are cancelled or marked free. An appointment from 10:00 to 11:00 overlaps one from 10:30 to 11:30 between 10:30 and 11:00. The report identifies that pair and the shared interval.
Back-to-back appointments ending and starting at the same time are compatible. The analysis compares absolute instants and displays times in your chosen timezone, Europe/Madrid by default.
We imported and ran this demonstration in n8n 2.41.6. We also checked fifteen analysis cases, including daylight-saving changes, back-to-back appointments, repeated events and invalid dates. The test uses fictional data; each Google account connection is checked when setting up real use.
Test the template before connecting your calendar
In the n8n editor, open the three-dot menu and choose Import from File to load the download. The template arrives inactive with demo_mode enabled. Run ‘Run a manual check’, then open ‘Inspect the audit result’: you will see three appointments checked and one overlap, without connecting Google or sending email.
The nodes have descriptive names and instructions in their notes. Editable settings are together in ‘Configure calendar and report’. You can find the calendar, recipient and review period before activating anything.
Use it with your own appointments
Connect Google Calendar and Gmail credentials in their respective nodes. In ‘Configure calendar and report’, enter the calendar and an internal email address authorised to receive appointment titles. Choose the timezone and review period; the initial setup checks the next seven days.
Disable demo_mode and run a manual check. Review the received events and report before activating the workflow. The trigger is set for a daily check at 08:00; adjust the schedule and workflow timezone for your business.
An email is sent when an overlap or an uncheckable timed date is found. When there is nothing to review, the result stays in the execution. An unresolved overlap can appear again in the following day's report.
Does this prevent double bookings?
It reviews appointments that already exist and flags overlaps. Preventing a booking before confirmation requires availability checks inside the booking process and handling simultaneous requests. The template leaves appointments unchanged and does not contact attendees.
It excludes all-day events, cancelled appointments, events marked free and invitations declined by the calendar user. A calendar shared by several people may contain intentional overlaps; define resources and capacity before adapting the analysis for that situation.
What do you need, and where does it run?
The template download is free and needs no email address. You can run it with n8n Community Edition on your computer or server without an n8n subscription. n8n Cloud offers hosted trials and paid plans. Real use requires Google Calendar and Gmail; hosting and external services may have their own costs.
Execution happens in the instance you configure. Downloading the file does not send your calendar to Webs del Camp. The report includes appointment titles, so choose an authorised recipient. Credentials are connected inside n8n and are not included in the download.
If you need to connect bookings, calls, out-of-hours enquiries or other tools, describe the current journey and the outcome it should produce. We can assess that adaptation with a defined scope.
